Known as “The Abnormal Beauty Company”, DECIEM is the parent company of The Ordinary, NIOD, and other beauty brands & is an industry disruptor with a science-first approach to innovation. DECIEM was Co-Founded in 2013 by the late Brandon Truaxe, a visionary who set out to change the beauty industry through authenticity and transparency. WHAT WE’RE LOOKING FOR
We are looking for a Coordinator, Retail Store Development to support DECIEM’s Global Retail department , and the Manager, Retail Store Development Global with coordinating all CAPEX and maintenance-related activities across our international Free Standing Store network.
This hybrid role will be based out of our Toronto head office.
WHAT YOU’D BE DOING IN THIS ROLE
- Attend project coordination sessions with multidisciplinary stakeholders, aimed at prioritizing execution strategy for all active Facilities-related CAPEX projects and work orders.
- Support and facilitate the vendor qualification and project tender processes with the support of the Manager, to ensure fair market comparison on all facilities-related projects, preventative services, and FF&E procurement. Ensure that relevant vendors are set up in ISN, our contractor qualification platform
- Takes initiative to monitor incoming work orders, follow up with vendors to complete delinquent or unfinished jobs as reported by field teams across all assets as required
- Supporting the Manager, Retail Store Development, with resolving and reconciling emergencies that may arise across our Global Store network. Be available to handle after-hours emergencies remotely as needed
- Arrange execution on approved small works initiatives globally
- Maintain open communication lines with Store managers and relevant field team members through project completion
- Reviews project budgets, leases, construction and maintenance contracts, and financial invoices for accuracy and administration
- Support with vendor coordination by raising purchase requisitions and orders via D365
- Performs other duties as assigned
SKILLS AND QUALIFICATIONS NEEDED TO GET THE JOB DONE
- 2-4 years of Facilities Coordination experience. Construction Project Management and Coordination experience also relevant. Multi-country experience an asset
- Excellent interpersonal and communication and organizational skills, experience dealing with internal and external stakeholders
- Ability work with ambiguity, and strategically “connect the dots”
- Working knowledge of PC applications including Word, Excel, PowerPoint and Outlook. Experience with Facilities Management Software a plus e.g. Air Table, Pro-Core, Ms Project
- Ability to multi-task and manage competing priorities and deadlines is essential
- Resilient problem solver, negotiator, with the ability to take initiative and ownership
- Detail-oriented and capable of managing projects with excellent follow through and accuracy
